This Privacy Policy explains how we collect, use, store, and protect your personal data when you use ReplyMind, available at replymind.cloud (the “Service”). We are committed to processing your data in accordance with the EU General Data Protection Regulation (GDPR / RODO).

1. Who collects your data (Data Controller)

2. What data we collect

  • Email address — when you join the waitlist, request early access, or create an account.
  • Payment data — subscription payments are processed by Stripe. Stripe collects and processes your card and billing details directly; we do not store full payment card numbers on our servers. We receive limited information such as your email, the payment status, and the amount.
  • Technical data — basic server logs (e.g. IP address, timestamp) generated automatically to operate and secure the Service.

3. Why we collect it (purpose and legal basis)

  • To provide and operate the Service — performance of a contract (GDPR Art. 6(1)(b)).
  • To process subscription payments — performance of a contract and compliance with legal accounting obligations (GDPR Art. 6(1)(b) and (c)).
  • To send product updates you signed up for — your consent (GDPR Art. 6(1)(a)), which you may withdraw at any time.
  • To secure the Service and prevent abuse — our legitimate interest (GDPR Art. 6(1)(f)).

4. Where your data is stored

Your data is stored on a Virtual Private Server (VPS) located within the European Union. We retain personal data only for as long as necessary to provide the Service, to comply with our legal obligations, or until you request its deletion. Payment data is handled by Stripe in line with their own privacy policy.

5. Service providers (processors)

We share data only with providers necessary to run the Service, including Stripe (payment processing) and our email/notification and hosting providers. These providers process data on our behalf under appropriate data-processing terms.

6. Your rights under the GDPR (RODO)

You have the right to:

  • access your personal data and obtain a copy of it;
  • rectify inaccurate or incomplete data;
  • erase your data (“right to be forgotten”);
  • restrict or object to processing;
  • data portability;
  • withdraw consent at any time, without affecting prior processing;
  • lodge a complaint with the Polish supervisory authority — the President of the Personal Data Protection Office (PUODO).
